FormPiilot (“we”, “us”, “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect your personal information when you use our AI survey response generation service.
This policy complies with the Nigeria Data Protection Act (NDPA) 2023 and aligns with international data protection standards including the EU General Data Protection Regulation (GDPR).

(a) Account Information:
- Email address (required for registration)
- Password (stored as a secure hash by our authentication provider)
(b) Survey Content:
- Survey questions and questionnaires you upload
- Custom context or instructions you provide for AI generation
- AI-generated survey responses
(c) Payment Information:
- Payment transaction records (amount, date, reference)
- Payment card details are processed directly by Paystack and are NOT stored on our servers
(d) Technical Information:
- IP address
- Browser type and version
- Pages visited and usage patterns
- Device information
3. How We Use Your Information
We use your information to:
- (a) Provide the Service: Process your surveys, generate AI responses, and deliver downloads
- (b) Process Payments: Facilitate transactions through our payment processor
- (c) Communicate: Send transactional emails (payment confirmations, password resets)
- (d) Improve the Service: Analyze usage patterns to improve functionality and user experience
- (e) Security: Detect and prevent fraud, abuse, and unauthorized access
We do NOT:
- Sell your personal information to third parties
- Use your survey content to train AI models
- Send marketing emails without your consent

IMPORTANT: When you upload a survey for processing, the text of your questions is sent to OpenAI's API for AI generation. OpenAI's API data usage policy states that API inputs are not used to train their models. However, you should not upload surveys containing sensitive personal information of real individuals.
5. Data Retention
- Account data: Retained for as long as your account is active
- Survey data and responses: Retained until you delete the job from your dashboard, or until account deletion
- Payment records: Retained for 7 years as required by Nigerian tax law
- Technical logs: Retained for up to 90 days
6. Your Rights
Under the NDPA and GDPR, you have the right to:
- (a) Access: Request a copy of the personal data we hold about you
- (b) Rectification: Request correction of inaccurate data
- (c) Erasure: Request deletion of your personal data (“right to be forgotten”)
- (d) Portability: Request your data in a machine-readable format
- (e) Object: Object to processing of your data for certain purposes
- (f) Withdraw Consent: Withdraw consent for data processing at any time

We implement appropriate technical and organizational measures to protect your data, including:

However, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

We use essential cookies for authentication and session management. We do not use tracking cookies or third-party advertising cookies.

FormPiilot is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children.

Your data may be processed in countries outside Nigeria (including the United States, where our hosting and AI providers operate). We ensure appropriate safeguards are in place for such transfers.
